Board Members and  the organization.

The basis for the CMPOA is the Board.
 
Every Year at the Annual Meeting in Feburary, Board members are nominated and elected for  a two year term.  If you would like to participate and become a Board member, notify a standing board member or come to the Annual meeting and nominate yourself in person. If are unable to attend the annual meeting and would like to be nominated, please notify the Board.  All the names are located on the Home Page of the site.

Our Organization Structure
 
Board members (Nine total comprise the Board).
Within the Board there are Four elected positions.
President
Vice President
Secretary and Treasurer.
 

Board Member’s Responsibilities

 

Attend all Board meetings to the extent possible. 

 

Once a decision is made at a Board meeting, even if the Board member would be opposed to the decision of the Board, the Board member would give full support and effort to the final decision of the majority of the Board.  

 

Attend all association social activities to the extent possible.

 

Assume the responsibility to oversee at least one social activity.  Each Board member is encouraged to delegate tasks for this activity.

 

Assist other Board members in fulfilling their responsibilities when needed.

 

Author informative articles of interest for the Manor Banner.

 

Assume the following responsibilities for the sector assigned to you:

 

Visit face to face and get to know members of every household.

 

 Welcome each new neighbor and obtain information for newsletter and annual directory to include: name of all residents, names and ages of children for party planning, phone numbers, cell phone numbers, e-mail addresses of adults, and any additional information they want to communicate to their new neighbors.

 

Assembly and delivery of new-neighbor baskets.

 

Delivery of newsletters, special flyers, directories and any other distributions on a timely basis as determined by the Board.

 

Collect annual membership fee from each family.

 

Inform President of the Board when any of these responsibilities can’t be performed in a timely manner. 

 

Officer’s Responsibilities - President

 

Prepare agenda and preside over monthly Board of Director meetings using democratic means in determining the desires of the Board members. 

 

The President does not vote on any issues unless there is a tie vote.

 

Prepare agenda and preside over the Annual Meeting of the membership using democratic means in determining the desires of the membership.

 

Prepare on an annual basis the assignment of each home in Columbine Manor to the Board members on a sector basis and determine those assignments on an equitable basis and develop a map for each Board member to clearly reflect the assignments.

 

Prepare a schedule of unpaid membership fees of Columbine Manor residents.  Review the schedule with all Board members and make every effort to see that each resident understands the benefits of membership.

 

Make every effort to see that the activities of the Board of Directors are in compliance with the by-laws of the association and the federal, state and county laws and ordinances.

 

Prepare, with the assistance of the Treasurer, an annual budget for the review and approval of the Board of Directors and distribute a copy of the document to every member of CMPOA prior to the Annual Meeting.

 

Maintain liaison with our Arapahoe County Commissioner, Arapahoe County Sheriff’s Department, South Suburban Parks and Recreation District and Presidents of Columbine Knolls and Normandy Estates Home Owners’ Associations.

 

Officer’s Responsibilities - Vice President

 

Act as parliamentarian of the Board of Director meetings and the Annual Meeting of the membership.  Insure that all attendees adhere to appropriate business meeting conduct and that issues requiring a decision be adequately discussed and voted on with the majority deciding the issue at hand. 

 

Determine a quorum is present an the Annual Meeting of the membership in accordance with the association by-laws.    

 

Preside over monthly Board of Director meetings, in the absence of the President, using democratic means in determining the desires of the Board members.

 

Prepare agenda and/or preside over the Annual Meeting of the membership, in the absence of the President, using democratic means in determining the desires of the membership.

 

Assume the responsibilities of the President when he/she is unable to perform the duties because of mental or physical incapacity due to accident or illness.

 

Officer’s Responsibilities - Secretary

 

Prepare accurate and detailed minutes of the monthly Board of Director meetings and the Annual Meeting so that if an individual was not in attendance at the meeting and read the minutes, he/she would be able to determine what important events and decisions made at the meeting.

 

Distribute the minutes of the Board meetings  and the Annual Meeting of the membership to all Board members at least within one week of the meeting for their review, additions or corrections if any and send the final minutes to the web site for posting.

 

Read the minutes of the previous Annual Meeting of the membership at the current year annual meeting.

 

Officer’s Responsibilities - Treasurer

 

Maintain accounting records for the association using generally accepted accounting principles.  Prepare income and disbursement journals and checkbook records that include deposits, withdrawals and adjustments. 

 

Make deposits at least once a month.

 

Mail or distribute checks to vendors and creditors on a timely basis.

 

Maintain copies of supporting documents for disbursements for at least seven years.

 

File, or cause to be filed, the annual report with the State of Colorado on a timely basis.

 

Balance the bank statement with the accounting records on a monthly basis.

 

Prepare and distribute a monthly financial report to the Board members on a monthly basis.  Pass around a copy or copies of the bank statement at the meetings for Board member review.  Verbally review the financial report and answer questions of the Board members.

 

Prepare, or cause to be prepared, a quarterly report of income and expense figures with the annual budget.  Review the report at the appropriate Board meetings.

 

Prepare, or cause to be prepared, an annual budget for the association.  Review the budget with the Board and obtain approval from the Board to be presented at the Annual Meeting.  Prepare, or cause to be prepared, copies of the Board approved budget for all association members.  Review the highlights of the annual budget at the Annual Meeting.  Obtain approval of the annual budget from the membership at the Annual Meeting.

 

Promote timely membership payments.

 

Promote sensible and responsible expenditures for maximum return to the association members.
