CMPOA Meeting minutes for the 8/14/2008 board meeting.

The Columbine Manor Property Owners Association (CMPOA) meeting was held at the home of Darrel and Andrea Del Duca on August 14, 2008.  President Darrel Del Duca called the meeting to order at approximately 7:05 PM.

Members present were Bob Engel, Jim Barnhill, Michael Derou, Darrel Del Duca, Joe Wuest, Hannah Shiba and Hiroo Shiba.  A quorum was present.

Approval of the previous board meeting minutes was passed as first order of business.  Darrel explained the recycling process and stated that all recyclable items need not be separated as they’re manually separated at the recycling center.  It was noted that the recyclable materials are picked up every 2nd week of trash pickup.  Michael noted that recycling containers need not be a special container, but should be labeled “recycle” if using a closed trash container.

Joe Wuest presented the Treasurer’s Report as of July 31, 2008, which had a balance of $6,171.92.  The balance for trash removal remained unchanged for the month of July at $149.94.  The board approved the Treasurer’s Report.

Old business was discussed focused on an email from Dwight Storm.  The email expressed 3 areas of concern:

(1) Three board members whose terms have expired in June continue to be on the board without approval of the membership; that this was contrary to the association’s by-laws.  Attendees believe the members whom Dwight did not specifically identify were:  Annemarie Garber, Bob Engel and Jim Barnhill.  A suggestion was made to add term dates next to all board members whose names are listed on the CMPOA website.  The approval of the board members whose term has expired will be added to the agenda at the 12/08 social event.

(2) Budget and expense details:  The board believes CMPOA membership is free to attend the monthly meetings and/or to request to review financial information.

(3) Changing of the fiscal year:  It was determined that it was too late to undo the fiscal year change.   Hannah raised a concern about the potential impact that the fiscal year change had on IRS filing requirement(s).   Darrel stated that he didn’t believe there was any IRS filing requirement for our non-profit organization, but asked Hannah to do research.

The August Manor Banner articles will be sent out to Jolin  (sp?) on Thursday and will be out 2 weeks from this Friday.

Darrell reviewed the results of the survey and commented that respondents were few.

It was noted that several properties appeared to have been sold:

5081 W. Geddies Circle
5005 W. Hinsdale Circle
5026 W. Hinsdale Circle

Darrel suggested the member responsible for the property across from Dwight’s residence prepare a welcome basket. The new homeowners should also be added to the CMPOA directory.

July-August “Yard of the Month” winners were Nadine Long and Marilyn Reider on 5142 W. Geddes Circle.

Candidates for the Yard of the month for August-September were submitted by several members and a vote was taken.  Winners are the Pages on 5020 W. Fremont Ave.

Darrel disclosed that the south-entrance flag was replaced and cell packs on both the north and south flag poles were replaced.

Meeting adjourned at approximately 8:50 PM.

Next board meeting will be held at the home of Jim and Marilouise Barnhill on September 10th.

 Hiroo Shiba
